Privacy Policy
This policy explains what information BookedOnMute collects, why we use it, when it may be shared, and the choices available to you.
Effective date: July 20, 2026
1. Where this policy applies
This Privacy Policy covers the BookedOnMute website, forms, emails, demos, and business services that link to it. Other websites and services have their own privacy notices.
When we handle caller or customer information for a business client, that client usually decides why the information is collected and how it will be used. In that situation, BookedOnMute acts as a service provider or processor. The client remains responsible for its notices, consent, lawful basis, and instructions.
2. Information we may collect
- Contact and business details, including your name, business email, phone number, business type, company information, and anything you include in a demo request or message.
- Communication and consent records, including when and how you asked us to contact you.
- Basic technical and security data, such as browser or device information, approximate network data, request times, and hashed or shortened identifiers used to prevent abuse.
- Client service data, which may include caller contact details, audio when recording is enabled, transcripts, summaries, appointment information, messages, and workflow records.
- Data from client-approved integrations, such as calendar availability, CRM fields, scheduling records, or payment-link status. Full payment-card numbers are not needed and are not intended to be stored.
3. Why we use information
- Reply to questions, provide demos, prepare proposals, and discuss services you asked about.
- Build, run, troubleshoot, secure, and improve call and automation workflows.
- Carry out client-approved actions such as booking, routing, confirming, and sending follow-up information.
- Detect spam, fraud, abuse, technical failures, and security problems.
- Keep required business records, enforce agreements, comply with law, and protect people and property.
- Send marketing where the law allows it. You can opt out of marketing, although service and transaction messages may still be sent.
4. When information may be shared
We use vendors for services such as hosting, cloud storage, communications, scheduling, payment links, security, and business operations. They may process information only for the work they provide, subject to their agreements and applicable law.
Information may also be shared when the law requires it, when needed to protect rights or safety, as part of a business transaction, or when you direct or consent to the disclosure. BookedOnMute does not sell personal information for money or share it for cross-context behavioral advertising as those terms are commonly used in U.S. state privacy laws.
5. Cookies, security tools, and embedded content
The site uses technology needed to operate and protect it. Firebase App Check and Google reCAPTCHA Enterprise may review browser, device, and network signals to help separate normal requests from abuse. The YouTube demo loads after you choose to play it and uses the privacy-enhanced YouTube domain where available. These providers may receive technical data such as an IP address when their services load.
The site does not currently serve targeted ads. If we later add non-essential analytics, advertising, or tracking, we will update this policy and add consent controls where required.
6. How long information is kept
We keep information only as long as it is reasonably needed for the purposes in this policy. That may include providing the service, keeping consent and business records, resolving disputes, preventing abuse, and meeting legal duties. The exact period depends on the type of data, client instructions, contracts, and law.
Rate-limit records are kept only as long as they are useful for abuse prevention. Client data may be returned or deleted under the client agreement and lawful instructions.
7. Security
We use measures intended to protect information, including encrypted connections, restricted database rules, server-side validation, abuse controls, and limited access. No online service can promise perfect security.
8. Your choices and privacy rights
You may ask us to access, correct, or delete information that BookedOnMute controls, or object to certain uses. We may need to verify the request and may keep information when the law allows or requires it. If the information belongs to one of our business clients, we may send the request to that client.
Depending on where you live and which laws apply, you may have other rights such as portability, restriction, opt-out, appeal, or protection from discriminatory treatment. We will not discriminate against you for using an applicable privacy right.
9. Children
The website and services are meant for business users and are not directed to children under 13. BookedOnMute does not knowingly collect personal information from children under 13 through this site. Clients should not configure a workflow to collect children's information without legal review and any required consent.
10. Updates and contact
We may update this policy when the service or legal requirements change. The effective date above identifies this version. Send questions or privacy requests to bookedonmute@gmail.com.
